Meeting of the Planning Staff

Almost a year before the European Youth Day takes off, the members of the Planning Staff met for the sixth conference on 9th and 10th June 2008. In the administration’s conference center of the New Apostolic Church of North Rhine-Westphalia, the focus was on the status of the preparations, the present developments and the interior design of the exhibition halls.

Every four months, the ministers in-charge for the youth work of the European regional churches meet to obtain information about ongoing plans and to decide on principle matters. 346 days before the European Youth Day one thing is clear: the hot planning phase has started.

Project report

On the first day District Elder Helmut Polzin, EYD Project Manager, presented the EYD Project Report. In this context, District Apostle Armin Brinkmann (regional church of North Rhine Westphalia) exlained the decision of the District Apostle Conference that not only European youth members will attend the EYD. Backround is that the organizers obtain more and more enquiries from regional churches outside Europe, for example from Bangladesch, Korea, Canada and South Africa. Referring to the song „He who wants to come is welcome“, District Apostle Brinkmann expressed the decision of the conference.

Another theme: the European Youth Day Online-System „EJOS“. Since 21st May 2008, group leaders and respectively youth deputies can register their youth members for the Youth Day. Shepherd Alfred Krempf comprehensively explained the procedure for the registration: the registration of the youth is performed in groups through a group leader. Rectors, district ministers and their wives register through their congregations – if they want to use the officially provided accommodation. Since members of one group will be accommodated together, those wishing to arrange their own accommodation must register themselves as a separate group. All information is displayed under „Taking part“ on the official website.

Clearing visa questions

Youth of other regional churches can also register through „EJOS“. Important is that any visa questions are cleared in sufficient time. Youth from foreign countries must, for example, hold a passport valid until the end of 2009.

The members of the Planning Staff decided unanimously, to spread the information about the start of the registration into the regional churches. In this respect, some concrete information will be added about the responsibility that group leaders will have over the members of their groups, especially if they are minors.

Sports activities only as side programme

District Elder Polzin furthermore presented possibilities for sports activities which can be carried out outside of the „LTU Arena“ in a near-by sports park. The object is to offer sports as an accompanying programme - to support the team spirit, to create opportunities to make new contacts. The organizers have decided against tournament sporting events, preferring instead spontanious sports. Also fixed sports activities shall be offered: jogging together with the fitter Apostles and District Apostles (District Apostle Brinkmann has already volunteered), a soccer school with New Apostolic professional soccer players and coaches and further activities. Concrete information will be published at the beginning of the next year.

On Tuesday, the programme consisted of the reports of the various project groups. Apostle Rüdiger Krause, Head of the Project-Group "Sponsoring", presented among other points the actual status of the donations (which will be published shortly). The PG "Communication", also under his leadership, has meanwhile established a Design Manual, which is basis for all further design works. This way a uniform appearance of the European Youth Day shall be ensured.

Accommodation on isolation or air-filled mattresses

District Evangelist Helmut Manthey, Head of Project Group "Accommodation", explained some
details about the accommodation of those 20,000 youth on the area of the exhibition hall where the EYD shall take place. The organizers will arrange 250 showers and a few hundred toilets close to the dormitories. For those who will come with a mobile camper, some 800 camping-plots will be available at the „Caravan-Center“. These camping plots can be booked when registering the attendance. The allocation/booking of the camping plots will be on a „first come first serve“ basis.

For the accommodation in the youth camps - inside the exhibition halls - the recommendation of the PG "Accommodations" is to use air-filled mattresses. „Air-filled mattrasses are much more comfortable on the hard concrete floor of the halls“ explains Manthey. In addition, every participant must also bring a sleeping bag or a blanket.

Keep deadlines for delivery dates

The organizers of the exhibition stalls of the regional churches have still much to do.
(Retired) District Evangelist Helmut Bleutgen reminded of the deadlines for the delivery of drafts and material lists - to enable all detail plannings to be concluded in time. He also described the building of the exhibitions stalls.

The meeting of the Planning Staff made it clear: one year before the European Youth Day the
planning, which runs in some areas since two years, are being materialized very shortly. The concepts for the interior design of the exhibition halls are likewise almost completed, as is the planning of the programme. The project groups "Music" and "Contents" expect to publish a concrete time-table of all the contributions by autumn.

Until then, however, there is lots to do – in all project-groups as well as in the individual planning teams of the regional churches. But one thing is now sure: „the planning is moving on so well that nothing will hamper the success of the European Youth Day“ according to Apostle Franz-Wilhelm Otten, managing director of the EJT2009 Düsseldorf gGmbH, at the end of the conference.
